Sales voicemail scripts can be tricky. You want to sound professional but not too stiff. You also want to make sure you’re conveying the right information.

When I first started in sales, I had no idea what my voicemail greeting should say. So I just winged it and said whatever came to mind. Needless to say, that didn’t go over well with potential clients!

  2. It is important to train your sales pitch and voice. Voicemails can be a great way to practice this aspect of your sales skills. This format requires you to be concise and forces you to be more effective when the prospect is in complete control.
  3. Voicemail is a great way to make sure your message gets through. Emails can be filtered, blocked or ignored. A voicemail will be read. That’s right, voice-to-text is the most popular way to read voicemails. This makes it even more important for voicemails to be left.

Here is the general voice mail message that I use.

Hi [Prospect Name],This is [Your Name] from [Company]. I saw that you’re interested in our product/ service, and I just wanted to reach out and see if you had any questions. I’d be more than happy to talk to you about the benefits of our product/service and see if it’s a good fit for you. Thank you for your time, and I look forward to hearing from you soon.

My number [phone #], or you can message me by texting [texting #].

I will send over an email with more information and all of my contact info.

This formula is short and sweet, but a lot goes into making it work.

Now let’s break it down.

Don’t bother with “hello,” “hey,” or “hi” when leaving a message. These are both too informal and too common.

Instead of just saying “Hello,” I introduce myself by first using their first name. This lets them know I have at least some information or do some research on them before calling them.

This takes away the “cold” feel of a phone call and generally disarms a prospect’s “defense” – deleting!

Give your name, your company, and your reason for calling them.

I value transparency in my sales approach. I never want my prospect to feel like I’m trying to trick them or pull a fast one.

It’s important to remember that your prospective customer knows you are selling. However, it is also important that you convey to them that you believe you have something of value.

This must be the part of your message that convinces them that returning your phone call is worthwhile.

If you’re a mortgage broker, you might say something like:

  • The rates just went down due to XYZ, but a looming threat could make that drop even worse.
  • My team lead just told me I can wave XYZ or give you this incentive for starting your home loan application now.

If you’re a realtor, you might say something like:

  • “I just saw a great new property listed in XYZ. You should check it out.”
  • “I just listed and sold a home down the street 123 for XYZ price. I feel confident that I can list and sell your home for $$$.”

Leaving your number in a message is still considered good etiquette, even though your prospect will have your Caller ID.

If your phone calls are routed to a central location or have a weird phone setup, then you want to do this.

If your number can take an inbound text message, let them know that is an option.

Hello, this is ____. I’m sorry we missed you, but most of my responses to missed phone calls are sent through email. So, you need to follow up with every phone call by sending an email. Thanks!

Sometimes people don’t answer your phone calls because they prefer communicating through email or they’re busy. But other times, they don’t want to talk to a salesperson.

Your closing statement should be particular and directive. Don’t lose out on the chance to close a deal because your prospect doesn’t want to speak with a salesperson on the phone. Send a follow-up email instead and give them more information about your offer. Ensure your closing statement is specific and direct so they know what you expect from them.

Give them the next action step, such as “Read this email because I’ve got these three important pieces of information in it”, or ask a pointed question that forces them to think. For example, “I just refinanced one of my clients and got $20,000 cash back. What would you do with $20,000?”.
